Job Description

  • Perform all secretarial and office functions of the Board, including organizing and scheduling Board meetings.
  • Draft and obtain approvals from the agenda of the meetings, collect and distribute working papers/presentations.
  • Facilitate communication between Board members and coordinate on behalf of the Board of Governors.
  • Maintain and update records, correspondence, and minutes of meetings.
  • Follow up on meeting decisions, inquiries, and other agenda items.
  • Collaborate with public and private sectors on behalf of the Board of Governors.
  • Travel as required for Board meetings or other official matters.

Required Skills and Competencies

  • Administrative Skills: Well-versed in secretarial tasks, office management, and PR approaches.
  • Communication Skills: Excellent written and verbal communication skills in English, Urdu, and Pashto.
  • Interpersonal Skills: Strong interpersonal skills with the ability to coordinate and liaise with stakeholders.
  • Technical Skills: Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook) and Zoom.
  • Shorthand Proficiency: Knowledge of Shorthand will be considered an advantage.
  • Presentation Skills: Excellent presentation skills for board meetings and official presentations.

Eligibility Criteria

Education: Minimum 16 years of education from an HEC recognized institution.
Experience:

  • Minimum 5 years of experience as Secretary, Secretarial Practitioner, or in an office management role.
  • Experience as Secretary with Board of Governors or Directors in Government Regulatory Authorities or Autonomous Bodies will be preferred.
  • Accreditation from the Institute of Corporate Secretaries of Pakistan is an added advantage.
    Age Limit: Not specified, but relevant experience is crucial.
    Gender: Male/Female

Selection Criteria

  • Shortlisting will be conducted based on the defined/settled criteria.
  • A written test will be conducted for the shortlisted candidates.
  • Top 3 or more candidates will be invited for the final interviews.
